How to create an Impact Snapshot

An Impact Snapshot is a shorter annual report that shows who your program reached and what it cost.

Before you start, make sure the program has a complete Program Profile. Then gather these numbers for the year you are reporting on:

  • The program's start and end dates
  • Where you delivered services, and roughly what percentage happened at each location
  • How many people you reached
  • Their demographics, as percentages (for example, age or income level)
  • Direct costs, overhead costs, and the value of any in-kind donations

Step 1: Start the Snapshot

 

Start a report from the Programs & Reports tab by opening the program and clicking "+ Add a report". Choose the year the report covers as well as the reporting type of "Impact Snapshot".

 

Step 2: Complete each section

  1. Description: Your profile description is filled in from your Program Profile. 
  2. Dates: Enter the start and end dates for the year you are reporting on.
  3. Locations: Add each location and the percentage of services delivered there. The total must equal 100%.
  4. Activities: Your program activities are filled in from your Program Profile. 
  5. Impact model: This comes from your Program Profile. 
  6. Reach: Describe who counts as reached (for example, "students enrolled in tutoring") and enter how many people you reached this year.
  7. Succeed indicators: Your Succeed indicators from the profile are shown here. You do not enter results for them.
  8. Beneficiaries: Choose the demographic groups your program served and enter the percentage for each.
  9. Budget: Enter direct costs and overhead costs. In-kind donations are optional. The total is calculated for you.

As you work, you may see automatic flags on some answers. A flag points out a number that looks unusual, such as a budget that seems low for the number of people reached. Review the number and either correct it or add context.

 

Step 3: Preview and submit

Preview your report, then click Submit.

In Blackbaud: When you submit, your report is finalized and shared with Blackbaud. It does not go to True Impact for review, so check your flags and numbers before you submit.

What funders see

Funders see the reach, locations, demographics, and budget you entered, along with estimated outcomes and cost per outcome. True Impact calculates the estimates from data reported by similar programs and always labels them as estimated, so funders can tell them apart from measured results.
